  1. Job Title: Coordinator-Air Imports: HR/JAN01/FFD/2018

Direct Manager: Freight Forwarding Manager

Job Summary

Main role will be to coordinate all international and domestic shipment bookings and movements. To ensure that all transactions are made in accordance with the local operation procedures

Key Responsibilities

 Freight Forwarding

  • Air-import rates requesting from various Agility offices
  • Updating details of air shipments in the company’s integrated systems.
  • Assist in preparing and forwarding Air Import quotations to clients
  • Client updates including document forwarding for approval for moving shipments
  • Continuous tracking of incoming air shipments and updating clients accordingly

Internal and External Coordination

  • Facilitates and expedites communication between clients, carriers, handling agents, suppliers, and internal departments such as Sales and Customer Services, overseas office to establish best service Possible.

Billing

  • Ensures billings of files with in the advised KPI’s after completing required checks on file.
  • Any files having loss seek management approval.
  • Review cost and sales accruals in the system on weekly basis.
  • Ensure all invoices for customers are dispatched with supporting documents within lead time.
  • Complete all required administrative work on file before archiving.

Others

  • Any other related duties/projects assigned by the Line Manager from time to time in order to meet business needs.

Education

  • A-Level
  • Industry related Certificate/ Diploma would be an added advantage

Experience

  • Minimum of 4 years’ experience in Freight Forwarding – Air Freight

Skills

  • Fluency in English
  • Thorough knowledge of local handling carrier regulations
  • Knowledge of local Air imports procedures
  • Knowledge of shipment load ability and compatibility
  • Knowledge of Special Cargo (Dangerous Cargo, Perishable, Live Animals etc)

Computer Skills

  • Very good knowledge in using Microsoft Office (Word & Excel).

Able to demonstrate

  • Tactfulness and politeness.
  • Negotiation skills
  • Efficiency and accountability.
  • Ability to focus and bring tasks to completion.
  • Ability to develop and sustain good working relationship with clients

Direct Manager: Freight Forwarding Manager

Job Summary

Main role will be to coordinate all international and domestic shipment bookings and movements. To ensure that all transactions are made in accordance with the local operation procedures

Key Responsibilities

Freight Forwarding.

  • Receiving Pre-alerts for the shipments.
  • Updating details of sea shipments in the Company’s integrated systems.
  • Tracks shipment ETA’s in advance in carriers tracking portal and advise clients accordingly
  • Checks B/L status (original or seaway BL) and freight details prior to arrival of shipment.
  • Validates the accuracy of commercial documents in advance
  • Prepares BL exchange/D.O. collection Letter in advance and keep it ready (prior to arrival)
